Sonaneo Privacy Notice

Last updated: October 30, 2026

1. Who we are. Sonaneo is a service of Apphive, Inc. (2810 North Church Street, Wilmington, DE 19802, United States) that provides AI voice agents that answer calls over WhatsApp and phone on behalf of businesses. Privacy contact: hello@sonaneo.com.

2. Two different roles.

  • When a business customer uses Sonaneo to serve its own customers, that business is the controller of the data of the people who call it, and we process that data only on its behalf and following its instructions (we are its processor). If you called a business that uses Sonaneo, see its privacy notice and contact it to exercise your rights; if you write to us, we will forward your request.
  • We are the controller of the data of visitors to our website, of our customers and prospects (people who buy or are interested in Sonaneo) and of people who call Sonaneo's own numbers.

3. What data we process.

  • Website: technical visit data and, if you accept cookies, analytics data (point 8).
  • Customers and prospects: name, email, phone, company, what you tell us by email, WhatsApp or chat, and billing data. Payments are processed by Stripe; we don't see or store your card details.
  • Calls: the caller's phone number, the call transcript and a short summary. We don't record the voice. If the caller is already a customer, the assistant may look up by their number their name, the status of their conversations and the summary of their previous calls, to help them better; it doesn't discuss or change account details over the phone.
  • We don't ask for sensitive data. We don't keep card numbers, passwords or health information: if they're said during the call, we remove them from what we store.

4. The assistant is an artificial intelligence. Calls are answered by an AI assistant. Where the law requires it (for example, in the European Union and some US states), it says so at the start of the call, together with notice that the call is transcribed. If at any time you ask whether you're talking to an AI, it will tell you the truth.

5. What we use it for. To answer calls and follow up on them; to provide, bill and improve the service; to reply to your messages; for security and to comply with the law. We don't sell personal data or use it to train AI models.

6. Who we share it with. Only with providers that process it on our behalf, all in the United States: Hetzner (servers in Virginia, where the assistant and our LiveKit run and transcripts are stored), Deepgram (speech-to-text), ElevenLabs (the assistant's voice), Anthropic (the assistant's replies and summaries), Meta (WhatsApp calls and messages), Amazon Web Services (email), Stripe (payments) and, only if you accept cookies, Google, Microsoft and Meta (analytics and ad measurement). Our support tool (Chatwoot) runs on our own servers. We would only hand data to an authority when the law requires it.

7. How long we keep it.

  • Transcripts, summaries and caller numbers: for as long as needed to provide support and improve the service, and for no more than 24 months after the last contact. If the call is to a business customer, its own retention period applies.
  • Customer data: for the duration of the service and then as long as tax and accounting laws require.
  • Prospects who don't buy: up to 12 months after the last contact.

8. Cookies and analytics. Our website uses the cookies it needs to work and, only if you accept them in the cookie notice, analytics and ad-measurement cookies: Google Analytics (how many people visit and where they come from), Microsoft Clarity (how the site is used, with session recording and text fields masked) and the Meta pixel (to measure our ads on Facebook and Instagram). If you don't accept them, they don't load. You can change your choice at any time from the "Cookies" link in the footer.

9. Your rights. You can ask to access, correct or delete your data (including your calls), object to or restrict its use, and take it with you, by writing to hello@sonaneo.com. We reply within 20 business days (or the shorter period your law sets). If you live in a country with a data protection authority (for example, the European Union, Mexico, Colombia or Argentina), you can also contact it.

10. Transfers. Your data is stored and processed in the United States. Where the law requires it (for example, for EU residents), we use the safeguards it provides, such as standard contractual clauses.

11. Minors. Sonaneo is a service for businesses and isn't directed at minors.

12. Changes. If we change this notice, we'll post the new version here with its date.
